Job Description

Onboarding

  • Issue and discuss Probationary contract to assigned Team members.

  • Upload received signed probationary in new hire's HRIS profile

  • Conduct employee orientation in the absence of the Employee Development & Engagement Specialist (EDES)

  • Enroll and delete Team members in the Biometrics/Door access

  • Oversee and support the Team members’ Onboarding program execution

  • Initially enroll new hire records in HRIS

Timekeeping

  • Oversee Timekeeping system

  • Check daily attendance

  • Update attendance infraction tracker based on daily attendance checking

Payroll & Benefits

  • Audit the enrollment of the employees in the HMO, Accident insurance and other company benefits.

  • Audit the reporting of Employee’s government statutory benefits.

Employee Engagement

  • Collaborate with the EDES for employee morale activities and engagement.

  • Oversee and support in the execution of employee morale activities and engagement.

  • Oversee on the conceptualization of employee engagement collaterals (e-posters, video, slide deck, or google form banner)

Lateral Transfers

  • Issue Employment Movement Form (EMF) to assigned client facing team members every Lateral transfer.

  • Update Timekeeping masterlist (every lateral transfer specifically on new client/department)

  • Update Employee masterlist

  • Update employee records in HRIS every lateral transfer

  • Update assigned supervisor in internal portal every lateral transfer

Performance Management

  • Follow up on the completion of performance evaluation forms

  • Process EMF and Regularization Contracts

  • Set and send out calendar notices to each of the assigned Talent Supervisors & CSM for employees due for regularization

  • Update the "due for regularization" tracker

  • Discuss Regularization contract to all client facing team members.

  • Update salary of employees that were regularized in HRIS

  • Upload signed 5th month and regularization contracts to employees' HRIS profile

  • Generate Tardiness report of the concerned Team members and Issue Disciplinary action.

Offboarding

  • Facilitate the exit clearance and exit interview forms of all expected to resign Team members.

  • Monitor & Follow up on the pending completion of exit papers of separated employees.

  • Conduct exit interview and collate responses.

  • Set separation date in resigning employees' HRIS Profile

  • Deactivate HRIS and internal portal profile of separated employees

  • Transfer separated employee's record from Data tab in timekeeping masterlist to Resigned tab

Data & Analytics

  • Develop workflows to visualize the existing processes and identify inefficiencies to present to the team.

  • Create ad-hoc reports and graphs from various teams

  • Spearhead report automation and visualization initiatives

  • Update and maintain Employee Masterlist, Attendance Infraction Report, Working File-Employee Masterlist report. etc.

  • Proactively identify trends, and present them to relevant stakeholders

  • Assist with Data Architecture of existing and new systems

  • Check all systems are updated correctly and the process is followed.

Operational Excellence

  • HR Playbook/SOP's Completion

  • Maintain and update CoDev Bulletin

Ad Hoc

  • Conduct O3 Sessions

  • Conduct and/or attend meetings

  • Process employee concerns, queries, or request via Chat/Email/Helpdesk

  • Facilitates and Maintain Department’s vendor account/portal (Ninja Van, Shoppee, Lazada,InfoVision, Sodexo, Canva and in any other list in the future).

  • Help create initiatives for the Department.

  • Serve as a Point of Contact in the absence of the HR Manager.

  • Perform other work related tasks as may be assigned. 

 

Qualifications

  • Bachelor's degree in Human Resources, Business Administration, Psychology, or a related field is required
  • 5 Years of professional experience in the HR field
  • Solid understanding of human resources principles, practices, and employment laws
  • Proficiency in HRIS (Human Resources Information System) software and Microsoft Office suite (Word, Excel, PowerPoint, Outlook)
  • Excellent communication skills, both written and verbal.
  • Tech-savy
  • Relevant experience in one or more of the following platforms: Canva, Google Sheets, and Google Sites
  • Ability to work methodically and meet deadlines
  • Customer-centric and continuous improvement mindset
  • Strong interpersonal skills and the ability to work effectively with employees at all levels of the organization
  • Attention to detail and strong organizational skills
  • Knowledge of performance management processes, employee engagement and employee relations
  • Maintaining a high level of professionalism, ethics, and integrity in all HR activities
